Executive Board Positions

The president's duties shall include, but may not be limited to: coordinate the work of the officers and committees of the association in order that the Purposes may be promoted; confirm that a quorum is present before conducting any business at any meeting of the association; preside at all meetings of the association; be authorized to sign on bank accounts; file with the Council PTA secretary the names of delegates and alternates from this Local PTA by the first regular Council PTA meeting and no later than October 1.

Shall act as aide-to-the-president; and preside in the absence of the president (in their designated order).

Coordinating a series of ongoing programs open to parents and students, covering issues of interest to the Gorzycki community. Programs may include; Gorzycki 101 – Welcome to Gorzycki, Bowie Night – an introduction to “all things Bowie,” Financial Planning for Young Teens, Drinking and Driving,  Cyber Safety and more.  This committee sets up the events, acquires a location, sends out invitations and notifications via the PTA newsgroup, places signs in the front drive as needed, etc.  Volunteers: 1 - 2 recommended.

Distributes information about PTA such as benefits, how membership dues are spent.  Encourages parents to become members of the PTA, sends updates, thank you notes, membership cards, etc as needed. Volunteers: 1 – 3 recommended.

Duties include organizing and planning donation drive activities as authorized by the GMS PTA Executive Board (at least one per year), collect and report on all funds received, work with board to come up with design for PTA t-shirts and any other spirit items to be sold by PTA, be present at any events selling such items.  Keep records of inventory and income.  Works closely with Treasurer.  Volunteers: 2 - 4 recommended.

The treasurer shall: have custody of all the funds of the association; keep books of account and records including bank statements, receipts, budgets, invoices, paid receipts and cancelled checks in accordance with the records retention policy; make disbursements in accordance with the budget adopted by the association; sign on bank accounts;  present a financial report, both written and verbal, at every meeting of the Local PTA and as requested by the executive board or the association; make a full report at the annual meeting; be responsible for the maintenance of such books of account and records as conform to the requirements of Article VI, Section 3 of these bylaws; complete and file all necessary tax documents; and present books to the audit committee as requested.

Secretary   Dena Hutton (Seeking candidates for 2013/2014 School year) - OPEN

The secretary shall: record the minutes of all meetings of the association; keep an accurate record of attendance at executive board meetings; be responsible for correspondence; collect and preserve documents relating the history of the association, present a written report to the association as the official history to be adopted at the annual meeting, have a current copy of the bylaws; maintain a list of the names of Local PTA officers who have completed the Texas PTA Leader Orientation, with the dates each course was completed; maintain the  records retention policy; maintain  the  adopted ethics/conflict of interest policy as signed by the current executive board members; and maintain a membership list.

Historian   Yasmin Evans

The historian shall: collect and preserve documents relating to the events of the association; present a report to the association as the official history to be adopted at the annual meeting. Takes photos at PTA events and keeps flyers pertaining to the PTA events for historical references.

The parliamentarian shall: advise the presiding officer on questions of parliamentary procedure; vote only when the vote is by ballot.  Knowledge of "Roberts Rules" is helpful, but not necessary. (We will provide Parliamentarian with a copy of "RR".

PTA Committees (some committees may not be listed yet):

ACPTA Chair (x2) - Anne Council and Barb Hoisington (Seeking candidates for 2013/14 School year) - OPEN

Attend Bowie vertical team meetings and Austin Council of PTAs meetings share information gained with the board at monthly GMS PTA meetings.  Share pertinent information with the vertical team regarding meetings attended with the GMS community. (ACPTA meetings happen typically 3 - 4 times during the school year)

Student / School Directory - Hollis Sheppard - (Seeking 3 more candidates to assist) - OPEN

Data entry, proof-reading, editing data in order to ready material for printer to create a school directory. Volunteers: 3 – 4 recommended.

Reflections is an art program which takes place from August to November. Students may submit original works in Literature, Musical Composition, Photography and Visual Arts, Dance Choreography, or Film and Video. Volunteers will: organize and distribute information regarding PTA “Reflections” program rules and guidelines, collect submissions from students, recruit judges to look over submissions, notify students whose submissions are chosen by the judges to receive a ribbon and advance to the Council level, keep students informed of progress of submissions. Volunteers: 4 - 6 recommended.

Organizing, planning, scheduling and facilitating special events for students. Specific events have included: 6th grade social, 8th grade end of year party and Tiger Day. Volunteers: 1 to 4 committee volunteers recommended.

Organizing, planning, scheduling, decorating (very minimal), gathering food items and facilitating special events for teachers and staff. Some events include Teacher Appreciation breakfasts or luncheons, etc.  This position works on 2 teacher luncheons and maybe 1 - 2 breakfasts during the school year. Volunteers - 6 - 10 for the committee is recommended.

Help teachers by copying, laminating and other clerical type of duties. 8 - 12 Volunteers recommended

The Tiger Mart is stocked with items that students, faculty or parents may wish to purchase that pertain to school supply needs, GMS PTA Tiger spirit items and such. Volunteers help with organizing, restocking, maintaining the store, as well as sales.  Coordinator also recruits volunteers to work in school store.

Compile items to send out in the weekly Google Group.  These items pertain mainly to PTA business but could   include information coming from sources other than the PTA as well (athletics, fine arts - those areas with no website of thier own.   Does not include curriculum or administration information which comes from the staff at GMS, which can be found at www.gmstigers.org.   Prior experience not necessary but could be helpful.  Volunteers: 1 - 2 helpful

Volunteer Coordinator - Susie Bladgan (Seeking candidate for 2013/2014 School year)

This position includes creating the “School-Wide Volunteer Opportunities” list as agreed upon with the PTA board chairs and committees, creating an electronic sign up volunteer form, keeping a database of volunteers, providing database information to committee chairs and coordinators of the various programs at GMS.  (i.e. Reflections in Art, Tiger Day, Hospitality, socials, etc.), working with website chair to put information on the GMS website to share volunteer opportunities as needed.  Volunteer Coordinator works closely with the various chair-persons of all committees.  This position is on-going throughout the school year.

PTA Website Chair  Hollis Sheppard (Theresa Bastian - 2013/2014 School year)

Works closely with the President, board and committee members to maintain the PTA website, edit & update information as needed.  Must be technically savvy. Prior programming experience preferred.   Experience with Joomla or other website development tools a plus.   Volunteers: 1 to 2 recommended.

Ongoing Needs

TEACHERS WORKROOM

Coordinator: Jessica Martone

Helping your teachers! Making copies, laminating, die cutting and other administrative tasks for teachers. Training is required and will be provided. Time requirement: 2 hours per week (or more if available). Work with a friend! Volunteers: 6 -10 recommended.

TIGER DADS OPEN FOR 2012-2013

Chair: Tracy Teston

Tiger Dads will support the staff assigned to monitor the student’s behavior during lunchtime. Dads get a chance to mingle with the students while monitoring behavior. This program is designed to provide students with positive role models as well as a higher level of safety. Dads need to be available at least once a month for one or more lunch periods. Volunteers: 60 - 70 recommended.

SCHOOL LIBRARY HELP OPEN FOR 2012-2013

Coordinator: Open

Duties include, but are not limited to, working with librarian on various tasks for the library including setting up a mysignup page for volunteers and for book fairs.

LANDSCAPING Looking for Co-Coordinator

Duties include, but are not limited to, working with a group of volunteers on various tasks around the school including pulling weeds, creating garden areas with native plants, keeping the landscaping in general good order.

PTA VOLUNTEER COORDINATOR

Volunteers will be needed for a variety of events throughout the year. As needs arise for specific events or areas that come up at a moment’s notice, these volunteers will be contacted. Volunteers: many recommended.

MISC: FOODS FOR EVENTS

Chair: Susie Blagdan

Volunteers will be asked to provide a variety of food related items for specific events. Most food items will be needed for teacher / staff related appreciations (see Hospitality) but some items may be needed for student’s dances or other school wide events. As needs arise, volunteers will be contacted. Volunteers: many recommended.
